Commercial cleaning software for contracts you cannot stand over

Every visit carries when it was taken, started and finished, and the photos from while someone was there — so a client audit has an answer. Contract margin is measured across the year, not guessed from a monthly figure.

The OlasBoard job pipeline as commercial cleaning contractors use it: leads, booked jobs, work in progress and done, each with the client, the date and the price
  • Cost and margin per contract
  • Timestamped record of every visit
  • Thirty cleaners, no per-login bill
  • Manager access without your financials

What breaks when you are not on site

“I find out a site was missed when the client rings me.”

A visit is a job with a clock on it: when it was taken, when it started, when it finished. If a shift is offered and nobody takes it, you are told within hours — while there is still time to send someone.

“This contract felt profitable for two years.”

Hours and costs sit against each visit, so a contract has a real margin over twelve months. A monthly figure hides the extra callouts, the deep cleans and the cover shifts; a yearly one does not.

“Staff turnover means teaching somebody the software every month.”

There is almost nothing to teach. The worker view shows the jobs that are theirs, a claim button, a timer and somewhere to put photos. Not your client list, not your other sites, not your margins.

“The client audits the site and it is their word against mine.”

The record comes off the work itself — timestamps the job produced and photos attached while the person was standing there. Nobody wrote their own report card.

“Cover at five in the morning is a phone tree.”

Offer the shift instead. Everyone available sees it at once, the first person free takes it, and exactly one of them ends up holding it however many tap together.

“Thirty cleaners would be thirty paid logins.”

Seats come with the plan — twenty on Team, fifty on Business — and the price does not move when you win a contract and staff it.

A contract, across a year

  1. Week 1Sites go in as properties. Recurring visits are set up once and land on the calendar.
  2. NightlyCleaners claim their own shift, run the timer, and leave photos on the job.
  3. A TuesdaySomebody calls in sick at 04:50. The shift is offered; it is taken in nine minutes.
  4. Month endInvoices repeat with the contract instead of being retyped.
  5. A client auditEvery visit for the quarter, with times and photos, in the order they happened.
  6. Year endWhat the contract actually made, after cover shifts and consumables.

The real problem is not knowing what is going on in your own business

Everything else follows from that. If you cannot see it, you cannot price it, chase it, or tell who is carrying the work.

Do you actually know what you made last month?
Not turnover — what was left. Income, costs and the margin on every job in one place, so the answer is a screen rather than an evening with a bank statement.
You pay a manager. Can you see what they did?
Leads handled, how fast they answered, what converted. From the record, not from their summary of it.
Which of your clients are still short?
One definition of unpaid across every screen, and the late ones chased on a schedule with the message already written.
Did anybody actually go to that job?
When it was taken, when it started, when it finished, and the photos from while they were there.
Are you pricing the work right?
What you quoted sits next to what it took. After a dozen jobs you are pricing from your own history instead of hoping.

Numbers from what people did, not from what they reported

Most tools tell you what somebody typed into them. These figures come off the work itself: the moment a job was taken, the moment it was started, the moment it was finished, the hours that fall out of that, and the photos attached while the person was standing there.

Nobody writes their own report card. That is the difference between a dashboard you believe and one you argue with.

Per-person performance reporting is on the Business plan. Job records, timings and photo proof are on every plan.

For anyone running a crew

Stop ringing round to fill a job

The job goes to the whole crew at once and the first person free takes it. No calls, no group chat you have to keep track of afterwards.

  1. 01

    You add the job

Client, address, time, price. Thirty seconds, from the van.

  2. 02

    The whole crew sees it

One offer to everyone instead of five messages sent one at a time. Their phone buzzes.

  3. 03

The first one free takes it

Exactly one person gets it, however many tap at once — and nobody can take a job on top of one they already have.

  4. 04

    You find out without asking

It shows who took it. If nobody does, you hear about it in hours, not on the day.

And your crew does not cost extra

Most tools in this category price per user, and “user” means anyone with a login — your crew, your subcontractors, the person in the office. The bill grows every time you hire.

Here the seats come with the plan. €99 a month covers up to 20 people, and the price is the same whether 20 of them are working today or two.

Built in, not sold separately

An assistant that has read your books

It sees your pipeline, your invoices, your expenses and your crew — and answers the questions a good business partner would.

  • “Who owes me money and how late are they?”
  • “Which of these leads should I ring first?”
  • “Am I actually making anything on recurring cleans?”
  • “Photograph this receipt and file it against yesterday's job.”

Ask by typing, by voice, or by photographing something. It advises and drafts — you stay the one who decides. Included from the €19 plan, not held back for an enterprise tier.

commercial cleaning software — questions

Does it do per-site checklists or QA scores?

No, and this is the honest limit. There are jobs, timings, notes and photos per site — enough to show a visit happened and what it looked like — but no auditable checklist template with a signed-off score per area. If a client contract requires that format, this will not produce it.

Can I see the cost and margin of one contract?

Yes. Hours and expenses attach to visits, and visits attach to the site, so each contract has its own spend and margin over any period you ask for.

Do I pay per cleaner?

No. Seats are included in the plan. Per-login pricing is what makes commercial cleaning expensive to run in software, because every cleaner who signs in is a billable user.

Can a supervisor use it without seeing my numbers?

Yes. The Manager role covers the pipeline and the team but not financials, so a site supervisor can move work and see who is where without seeing what anything makes.

Does it handle night and early-morning shifts?

Yes. Jobs carry their own time, so the calendar shows a 05:00 shift where it belongs rather than assuming office hours.

Is there a client portal?

No. What clients get is the invoice, and the photos and visit record you choose to send with it. There is no login for them to sign into.
