Oven cleaning software for a day of small jobs

Eight jobs, an hour and a half each, every one needing a price, before-and-after photos and an invoice. This does all three on the phone before you pull away, and nobody can be booked somewhere they cannot physically reach in time.

The OlasBoard job pipeline as oven cleaning businesses use it: leads, booked jobs, work in progress and done, each with the client, the date and the price
  • Invoice on the doorstep, not at midnight
  • Before-and-after on every job
  • Travel time respected when booking
  • Second van included in the plan

The problem with a high-volume day

“Eight jobs a day means eight invoices in the evening.”

The invoice builds from the finished job in one step, carries your VAT number and rate, and goes by email or WhatsApp before you have loaded the van. The evening stays yours.

“The oven looked terrible and now it looks new, and by next week they have forgotten.”

Before-and-after photos attach to the job with the time and the person who took them, and can go out with the invoice. That is also the best marketing this trade has.

“Somebody cancels at nine and the slot is dead.”

Offer the slot. Everyone sees it at once and the first person free takes it, so a gap gets filled from the van rather than by ringing three people.

“I get booked in two places twenty-five minutes apart with no gap between them.”

Cannot happen. A job cannot be taken when it overlaps one already held, and there is a travel allowance between them — the clash is refused with the reason, not discovered on the day.

“Dip-tank chemicals, cloths, fuel — it is all just money leaving the account.”

Photograph the receipt and it files against the right category, or against the job if it belongs to one. What a job made is the price minus what it took, not the price.

“Taking on a second technician means another software licence.”

Seats come with the plan. A second van, or a fifth, changes nothing on the bill.

A day of eight

  1. 08:05Today is already on the phone in order, each job with an address and a price.
  2. 09:30First oven: before photos, timer running.
  3. 10:55After photos. Invoice out on the doorstep with the photos on it.
  4. 11:20A cancellation. The slot is offered and taken in four minutes.
  5. 15:40Wholesaler receipt photographed against consumables.
  6. 18:00Nothing to do. It went out as it happened.

The real problem is not knowing what is going on in your own business

Everything else follows from that. If you cannot see it, you cannot price it, chase it, or tell who is carrying the work.

Do you actually know what you made last month?
Not turnover — what was left. Income, costs and the margin on every job in one place, so the answer is a screen rather than an evening with a bank statement.
You pay a manager. Can you see what they did?
Leads handled, how fast they answered, what converted. From the record, not from their summary of it.
Which of your clients are still short?
One definition of unpaid across every screen, and the late ones chased on a schedule with the message already written.
Did anybody actually go to that job?
When it was taken, when it started, when it finished, and the photos from while they were there.
Are you pricing the work right?
What you quoted sits next to what it took. After a dozen jobs you are pricing from your own history instead of hoping.

Numbers from what people did, not from what they reported

Most tools tell you what somebody typed into them. These figures come off the work itself: the moment a job was taken, the moment it was started, the moment it was finished, the hours that fall out of that, and the photos attached while the person was standing there.

Nobody writes their own report card. That is the difference between a dashboard you believe and one you argue with.

Per-person performance reporting is on the Business plan. Job records, timings and photo proof are on every plan.

For anyone running a crew

Stop ringing round to fill a job

The job goes to the whole crew at once and the first person free takes it. No calls, no group chat you have to keep track of afterwards.

  1. 01

    You add the job

Client, address, time, price. Thirty seconds, from the van.

  2. 02

    The whole crew sees it

One offer to everyone instead of five messages sent one at a time. Their phone buzzes.

  3. 03

The first one free takes it

Exactly one person gets it, however many tap at once — and nobody can take a job on top of one they already have.

  4. 04

    You find out without asking

It shows who took it. If nobody does, you hear about it in hours, not on the day.

And your crew does not cost extra

Most tools in this category price per user, and “user” means anyone with a login — your crew, your subcontractors, the person in the office. The bill grows every time you hire.

Here the seats come with the plan. €99 a month covers up to 20 people, and the price is the same whether 20 of them are working today or two.

Everything the job needs, in one app

Built in, not sold separately

An assistant that has read your books

It sees your pipeline, your invoices, your expenses and your crew — and answers the questions a good business partner would.

  • “Who owes me money and how late are they?”
  • “Which of these leads should I ring first?”
  • “Am I actually making anything on recurring cleans?”
  • “Photograph this receipt and file it against yesterday's job.”

Ask by typing, by voice, or by photographing something. It advises and drafts — you stay the one who decides. Included from the €19 plan, not held back for an enterprise tier.

oven cleaning software — questions

Can I invoice on the doorstep?

Yes, that is the intended way to use it. The invoice comes off the finished job in one step and goes by email or WhatsApp from the phone, with the before-and-after photos attached if you want them on it.

Does it stop me being double-booked?

Yes. A job cannot be claimed if it overlaps one the same person already holds, and a travel allowance sits between jobs, so back-to-back bookings on opposite sides of town get refused with the reason.

Can customers pay by card?

You record the payment against the invoice yourself — cash, card or a part payment — and the balance updates everywhere. A pay-now link the customer taps is not built yet; it is the next thing on the invoicing side.

Does it remind customers a year later?

Repeat work is set up once and reappears as a job, and unpaid invoices are chased on a schedule. Both are jobs on your side rather than a marketing campaign to your customer list.

Is there a limit on jobs per day?

No. The plan limits people, not work.

Do I pay per technician?

No. Seats are included in the plan — five on Autopilot, twenty on Team.
