Gutter cleaning software: proof from a place they cannot see

Nobody standing on a drive can check whether the gutter is clear, which is why photos with a time and a name on them are the product you are actually selling. They attach to the job and go out with the invoice.

The OlasBoard job pipeline as gutter cleaning businesses use it: leads, booked jobs, work in progress and done, each with the client, the date and the price
  • Photo proof on every job
  • A storm queue that fills itself
  • Customers keep their history year to year
  • Nothing to type up a ladder

Selling work nobody can inspect

“They cannot see what I cleared, so they question the price.”

Photos attach to the job with the time and the person who took them, and go out with the invoice. The price stops being a matter of trust.

“Two weeks of storms and a queue I cannot fill.”

Offer the jobs rather than allocating them. Everyone free sees them at once and takes what they can reach — and nobody can take a job that leaves no time to travel to it.

“The same houses every year and I re-find them all.”

Each customer keeps their address, history and price. Repeat work is set up once and reappears when it is due instead of being remembered.

“I am up a ladder. I am not typing anything on site.”

The worker screen is deliberately thin: the jobs that are yours, a claim button, a timer, somewhere for photos. It also keeps working with no signal and syncs later.

“Half the enquiries never get an answer.”

Enquiries land in the pipeline as leads — including straight from your Facebook or Google ads — and your phone tells you. Nothing waits in an inbox for a week.

“Taking on a second pair of hands costs a seat.”

Seats come with the plan, so seasonal help does not change what you pay.

After a week of rain

  1. Mon 07:30Eleven enquiries from the weekend are already leads with addresses.
  2. Mon 08:00Priced and offered as jobs. The crew take what they can reach.
  3. Mon 10:20First house: photos of the gutter before, then clear.
  4. Mon 10:25Invoice out with the photos attached, from the ladder-side of the van.
  5. FriThe week is billed. Two slow payers get chased without you writing anything.
  6. Next autumnThe same customers come back as repeat jobs, with last year’s price.

The real problem is not knowing what is going on in your own business

Everything else follows from that. If you cannot see it, you cannot price it, chase it, or tell who is carrying the work.

Do you actually know what you made last month?
Not turnover — what was left. Income, costs and the margin on every job in one place, so the answer is a screen rather than an evening with a bank statement.
You pay a manager. Can you see what they did?
Leads handled, how fast they answered, what converted. From the record, not from their summary of it.
Which of your clients are still short?
One definition of unpaid across every screen, and the late ones chased on a schedule with the message already written.
Did anybody actually go to that job?
When it was taken, when it started, when it finished, and the photos from while they were there.
Are you pricing the work right?
What you quoted sits next to what it took. After a dozen jobs you are pricing from your own history instead of hoping.

Numbers from what people did, not from what they reported

Most tools tell you what somebody typed into them. These figures come off the work itself: the moment a job was taken, the moment it was started, the moment it was finished, the hours that fall out of that, and the photos attached while the person was standing there.

Nobody writes their own report card. That is the difference between a dashboard you believe and one you argue with.

Per-person performance reporting is on the Business plan. Job records, timings and photo proof are on every plan.

For anyone running a crew

Stop ringing round to fill a job

The job goes to the whole crew at once and the first person free takes it. No calls, no group chat you have to keep track of afterwards.

  1. 01

    You add the job

Client, address, time, price. Thirty seconds, from the van.

  2. 02

    The whole crew sees it

One offer to everyone instead of five messages sent one at a time. Their phone buzzes.

  3. 03

The first one free takes it

Exactly one person gets it, however many tap at once — and nobody can take a job on top of one they already have.

  4. 04

    You find out without asking

It shows who took it. If nobody does, you hear about it in hours, not on the day.

And your crew does not cost extra

Most tools in this category price per user, and “user” means anyone with a login — your crew, your subcontractors, the person in the office. The bill grows every time you hire.

Here the seats come with the plan. €99 a month covers up to 20 people, and the price is the same whether 20 of them are working today or two.

Everything the job needs, in one app

Stop paying for five tools that do not talk to each other.

Built in, not sold separately

An assistant that has read your books

It sees your pipeline, your invoices, your expenses and your crew — and answers the questions a good business partner would.

  • “Who owes me money and how late are they?”
  • “Which of these leads should I ring first?”
  • “Am I actually making anything on recurring cleans?”
  • “Photograph this receipt and file it against yesterday's job.”

Ask by typing, by voice, or by photographing something. It advises and drafts — you stay the one who decides. Included from the €19 plan, not held back for an enterprise tier.

gutter cleaning software — questions

Can I send photo proof with the invoice?

Yes, and for this trade it is the main thing. Photos carry the time and the person who took them, so “before and clear” is evidence rather than a claim.

Does it price by the size of the house?

No, there is no calculator. Your quote sits next to the hours the job took, so within a season you are pricing a semi and a detached from your own history.

Can it handle annual customers?

Yes. Repeat jobs are set up once and appear when they are due, and invoices can repeat with them.

Does it keep safety records or method statements?

No. It keeps the job record, the timings and the photos. Risk assessments, RAMS and ladder-training records are not part of it, and pretending otherwise would be worse than saying so.

How do jobs reach my crew in a busy week?

Offer them and they are all visible at once; the first person free takes each one. Overlaps and impossible travel are refused with a reason rather than found out on the day.

Do I pay per operator?

No. Seats are included in the plan.
